Terms of Enrolment (Non-CRICOS Short Courses)

1) Who can apply

  • Age: 18+ (or 16–17 with parent/guardian consent).
  • Visa status: You are responsible for ensuring your visa permits study and in-person attendance in Australia. SCOTS does not issue CoEs for this short course.
  • English levels: All levels welcome; we group/pace the class appropriately.

2) What the course is / isn’t

  • What it is: A non-accredited, skills-focused short course to improve English clarity, fluency and confidence for childcare settings.
  • What it isn’t: Not a VET qualification, not nationally accredited, and not a substitute for mandatory industry certifications or checks.

3) Enrolment steps & confirmation

  1. Submit the online application form.
  2. SCOTS reviews your application and emails an invoice/payment link.
  3. Your place is confirmed only when full payment is received by the due date shown on the invoice. You’ll then receive a confirmation email with details.

4) Fees, payment & surcharges

Course fee: AUD $[insert] (includes tuition and course materials). Payment due: within 3 business days of invoice or by [insert date], whichever is earlier. Card surcharges, if any, will be disclosed at checkout. Unpaid invoices may result in your place being released.

5) Minimum numbers & provider cancellation

The course requires a minimum of 8 students. If minimum numbers aren’t met, or in the event of trainer illness/venue issues, SCOTS may reschedule or cancel the intake. If we cancel and you cannot attend the new dates, you may choose a full refund or credit towards a future intake.

6) Student cancellations, transfers & refunds

7+ days before start: Full refund less a $50 admin fee, or 100% credit to a future intake (no fee). 1–6 days before start: 50% refund or 100% credit to a future intake (one free transfer). After the course starts / no-show: No refund. Name change: You may transfer your place to another person ≥48 hours before start (admin fee $25). These rights are in addition to any rights you have under the Australian Consumer Law (ACL).

7) Attendance, conduct & outcomes

Attendance: We expect 80%+ attendance to receive a Certificate of Completion. Conduct: Respectful behaviour is required. SCOTS may remove any participant for harassment, discrimination, abuse, intoxication, or unsafe conduct (no fee refund). Punctuality: Please arrive on time; repeated lateness disrupts learning. Outcomes: Learning outcomes are not guaranteed; progress depends on individual effort and attendance.

8) Accessibility & support

Tell us about any access or learning needs at enrolment. We’ll make reasonable adjustments where feasible. If a requested adjustment is not practicable, we’ll discuss alternatives (including fee options or transfers).

9) Health & safety

Follow staff instructions and any venue safety rules. Do not attend if you are ill with a contagious condition. SCOTS may offer a one-time transfer to a later intake on presentation of reasonable evidence (medical certificate).

10) Materials, IP & permitted use

All course materials are for your personal study only. You must not copy, republish, or distribute SCOTS materials without prior written permission.

11) Photography, recordings & marketing

Opt-in only. We will only use your image/recordings for marketing if you explicitly consent (separate tick box on the form). Withholding consent will not affect your enrolment.

12) Privacy

We collect and use your personal information to manage your enrolment, deliver training, and comply with legal obligations. We may share limited data with service providers (e.g., payment processors) under confidentiality obligations. See our Privacy Policy for full details and your rights. (Link this in your form.)

13) Changes to schedule or trainer

SCOTS may make reasonable changes to timetable, trainer, or venue where necessary. We’ll notify you as early as possible. If a change makes you unable to attend, Section 6 applies.

14) Force majeure

SCOTS is not liable for delays or non-performance caused by events beyond our reasonable control (e.g., natural disasters, public health orders, transport strikes). We will offer reasonable alternatives (reschedule, transfer, or credit).

15) Liability

To the extent permitted by law, SCOTS excludes liability for indirect or consequential loss. Our total aggregate liability arising out of your enrolment is limited to the amount of fees actually paid by you for the course, except where the ACL applies and provides otherwise.

16) Complaints & feedback

We welcome feedback. To lodge a complaint, contact [insert email/phone]. We aim to acknowledge within 2 business days and to resolve within 10 business days.
